# Send several certificates in one email

> Pick a client's certificates on the Certificates page and send them all together, each as its own PDF, in one email.

When you've done a whole block for one landlord, they want the certificates together, not one email per flat. You can pick them on the Certificates page and send the lot in one email, with each certificate attached as its own PDF.

## Ready to send

When a client has two or more certificates you've approved in the last 30 days and nobody has emailed yet, a card for them appears at the top of [**Gas Certs**](/gas-certs), under **Ready to send**. It shows who they're for, how many of each kind, and when they were done.

- **Send as one email** sends the lot to that client together. It says **Send both** when there are two.
- **Split by type** appears when the batch has more than one kind, say unvented cylinders and heat pumps. It sends one email for each kind, each worded for what's in it.

Either way you see who it's going to and what's attached before anything goes. On a phone, swipe sideways to see the next client. On a computer the cards sit in a row, with arrows once there are more than fit.

A single certificate doesn't get a card, because it already has its own **Send** button. Certificates brought over from another system aren't included either.

## Pick them yourself

1. Go to [**Gas Certs**](/gas-certs) and tap **Send several** (on a phone it's **Send several at once**, under New certificate).
2. The list turns into tick boxes. Tap each certificate you want, or search the client's name and tap **Select** on the bar at the bottom to tick every certificate for them that's ready to go.
3. Tap **Send**. Check who it's going to, the subject and the message, and tap **Send**.

The message is written for you and says what's attached, for example *"38 Unvented Hot Water Safety Records and 4 Heat Pump & Hot Water Cylinder Service Records"*. Change it to whatever you like before you send. Every certificate in the email is marked as sent.

Changed your mind? **Cancel** on the send screen takes you back to your ticks. The **✕** on the bar clears them.

## Ask Mucka

You can also just ask, in chat, by voice or on WhatsApp: *"email Sam the three certificates from this morning"*. Mucka finds them and puts them all in one email, with the same rules as below. They don't need to be on a job.

## One client at a time

An email carries one client's certificates. Once you've ticked one, other clients' certificates go grey. It only goes to an email address on that client's record, so if they want it at a different address, add that address to the client first.

## What can't be ticked

- **Drafts.** Approve the certificate first.
- **Superseded certificates.** Send the one that replaced it.
- **Certificates with no client on them.** Open the certificate and add the client.

## Big batches

You can send up to 60 certificates in one email. If the PDFs together are too big for one email, which only happens when they carry a lot of photos, Mucka says so and sends nothing, so split them into two batches.
