# Set up WhatsApp Source: https://help.mucka.ai/integrations/set-up-whatsapp Category: Integrations Last updated: 2026-09-01 > Connect and link your personal WhatsApp to Mucka — you enter your mobile, Mucka texts you a 6-digit code — so you can talk to Mucka over WhatsApp, anywhere, anytime. Once your WhatsApp is paired with Mucka, you can text Mucka, send voice notes, and get briefings the same way you'd message a real assistant. Same Mucka as the app, same memory, just in WhatsApp. ## Pair your number If you're the owner, Mucka offers this during setup. You don't have to do it there and then — you can say "not just now" and carry on into the app — but Mucka will keep asking each time you open it, because without WhatsApp there's no way to reach you when you're out on a job. If you already did it during setup, there's nothing to do here unless you're changing the number, and if you are, see **Changing your number** below. Everyone else pairs from [**Settings → Connections → Integrations → WhatsApp**](/settings/connections/integrations?sub=whatsapp). The flow takes about a minute: 1. **Enter your WhatsApp phone number.** Your mobile, the one you actually use WhatsApp on — WhatsApp only works on a mobile, so a landline or an 03 number will be turned down. 2. **Mucka sends you a 6-digit code.** It arrives as a WhatsApp message from the Mucka business number within a few seconds. 3. **Type the code into the app to confirm.** Done. The page flips to "Paired" and you'll see Mucka appear as a contact in your WhatsApp. The code expires after 10 minutes. If it doesn't arrive, double-check the number then request a new code. **You don't message Mucka first.** It runs the other way round: you put your number into Mucka, and Mucka messages you. There's no number for you to go and find, and nothing to send. Mucka appears in your WhatsApp on its own once the code arrives. ## If the number is wrong while you're still setting up The number Mucka pairs during setup is the one you typed on the signup form. If that was your office number rather than your mobile, the code has nowhere to go, because WhatsApp only works on a mobile. This no longer holds setup up — you can carry on and sort it once you're in — but it's quicker to fix on the spot. You don't need to ask us, and you don't start again. Either: - **Tell Mucka in the chat.** "That's the office number, use 07700 900123" — Mucka changes it there and then and texts a fresh code to the new one. - **Tap "Use a different number"** on the WhatsApp card, type your mobile and tap **Send code**. If Mucka already knows the stored number can't work, that box opens on its own with the message explaining why. ## Changing your number Got a new phone number, or want Mucka on a different WhatsApp? You can do this yourself in about a minute — you don't need to ask us. Go to [**Settings → Connections → Integrations → WhatsApp**](/settings/connections/integrations?sub=whatsapp) and: 1. **Tap Unpair** on your current number. Mucka asks you to confirm, then the page flips back to unpaired. 2. **Pair the new number** using the same three steps above — enter it, wait for the 6-digit code, type it in. Everything Mucka knows about your business stays exactly as it was — your clients, your jobs and your chat history with Mucka are all still there. You're only changing which WhatsApp the conversation happens in. Three things to know: - **You have to unpair first.** Mucka only holds one WhatsApp number per person, so trying to pair a second one while the first is still connected gives you "You're already paired. Unpair first to change number." - **Your phone PIN is cleared.** If you'd set a 6-digit PIN so you can ring Mucka, unpairing removes it. Once you've paired the new number, set a new PIN from the phone card in [**Profile**](/settings/you/profile) — until you do, calling Mucka won't get through. - **The new number needs to be free.** A WhatsApp number can only be paired to one Mucka account at a time. If the new one was used with another Mucka account, unpair it there first. ## What you can do over WhatsApp Same things you can do in the app: - **Ask Mucka anything:** "what's the history with the Walkers?", "how was last week?", "send Sarah the invoice" - **Voice notes:** record a 10-second voice note while driving, Mucka understands and replies - **Drafted actions:** Mucka drafts quotes, invoices and texts in WhatsApp the same way they appear in the app, with the same one-tap approve - **Photos:** send a photo of a job site, a part, an invoice you've been handed, Mucka adds it to the right record - **Get a PDF sent to you:** ask for the document itself, "send me the PDF of INV-0042", and Mucka sends the actual file into the chat so you can print it, save it or forward it ## Getting a paper copy of an invoice or quote Some customers would rather have a printed invoice than an email. Ask Mucka for it on WhatsApp and it sends the file straight into the conversation: > *"Send me the PDF for the Thompson invoice."* > *"Can I get a copy of Q-1042 to print?"* The PDF arrives as a WhatsApp attachment. Tap it to open, then use WhatsApp's own share button to print it, save it to your phone, or pass it on. Two things worth knowing: - Mucka needs to know **which** document. If you just say "send me the invoice" and there's more than one it could mean, it'll ask which. - This sends the file **to you**, not to your customer. To email it to the client, say "email the Thompson invoice to them" instead. ## Each engineer pairs their own number WhatsApp is per-user. Every person on the team pairs their own personal WhatsApp number. Owners can see who's paired by visiting Settings → Connections → Integrations → WhatsApp and looking at the team roster. If an engineer leaves, the owner can unpair them from that same screen. ## Common gotchas - **It says paired, but Mucka replies "I don't recognise this number."** That means the number on your pairing isn't the number WhatsApp is actually sending from, so nothing lines up. Nearly always it's the number that was typed: put your mobile in the way you'd write it down — **07700 900123** — rather than dropping the leading zero. Unpair, pair again with the full number, and the test reply comes straight back. If it still happens, check you're messaging from the same handset you paired, not a second phone or a WhatsApp Web session signed into a different account. - **Code never arrives.** WhatsApp sometimes deprioritises codes from numbers you haven't messaged before. Send any message to the Mucka business number first, then request the code. - **"Number already paired"** to a different Mucka account. Each WhatsApp number can only be paired to one Mucka account at a time. Unpair on the old one first. - **Business vs personal WhatsApp.** Mucka pairs with the regular consumer WhatsApp on your phone, the green one. WhatsApp Business app on the same number also works. - **No buttons over WhatsApp.** WhatsApp is text (plus attachments), so Mucka won't show you tap-through buttons the way the app does. It'll tell you where to look in words instead, or send you the file. - **No client-facing WhatsApp here.** This is for YOU to talk to Mucka. Sending appointment confirmations and quote follow-ups to your clients over WhatsApp is a separate setup (covered in a later article). ## Somebody who will not use WhatsApp Connecting is compulsory by default, and it stays that way — Mucka keeps asking until it's done, because without it there's no way to reach you when you're out on a job. If one person on your team won't put WhatsApp on their phone, you can excuse **that one person**. Open their card in [**Settings → Team → People**](/settings/team/team) and turn off **Ask them to connect WhatsApp**. It only stops the asking. It never unpairs anybody, and it never stops a message somebody already gets. Everyone else on your team is still asked, and so is the next person you take on — the exception is per person, and you grant it deliberately. Worth knowing what it costs them: Mucka then reaches them through the app only. If they haven't installed it, nothing reaches them at all.
