Some of your customers pay for work on buildings they don't live in — a factor, a managing agent, a letting agent, a housing association. The money comes from them, but the job is at a flat or a shop with its own name.
Mucka can address the paperwork the way those firms expect it. On a commercial client's record there's a tick box, Property factor / managing agent, and it changes one thing: who the quote or invoice says it's for.
What it does to a document
With it off — which is how every client starts — the invoice is headed with the client's name:
Invoice To
Hoffmann Machine Company Limited
Unit 7, Brookfield Park
CW7 2QT
With it on, and a work site chosen on the document, the site's name goes on top and the client drops to a "c/o" line:
Invoice To
23 Blythswood Court
c/o Sutherland Management
14 Bath Street
G2 1HY
The Work Site panel on the right-hand side is unchanged either way, and so is everything else — the client is still who owes you, still who gets chased, still who it goes to Xero as. Only the heading moves.
When to tick it
Tick it when the firm manages property on someone else's behalf and wants each building billed by name. That's factors, managing agents, letting agents and housing associations.
Leave it off for a company that simply has several of its own addresses. A firm with a workshop, a yard and two depots is not a factor — they want their own name at the top, and the site they're being billed for shown in the Work Site panel, which is exactly what happens with the box unticked. This is the one people get wrong: the box is about who the building belongs to, not about how many addresses are on the record.
Where to find it
Open the client and press Edit. The tick box sits just under the VAT number field. It only appears on commercial clients, and only when the Multi-site clients skill is switched on — without a work site on the document there's nothing to address it to.
Once it's set you'll see it on the client's own page under Company, and it shows on the merge screen if you ever combine two records.
The reminder in the composer
When you're writing a quote or invoice for a factor and you pick a work site, a line appears under the Work site box telling you what the document will be headed with, and why:
This will be addressed to 23 Blythswood Court, c/o Sutherland Management, because Sutherland Management is marked as a property factor. Untick that on their client record to bill them by name instead.
That's there because the effect is easy to forget a fortnight after ticking the box. If the line surprises you, the fix is on the client record, not on the invoice.
Fixing one that's already gone out
Untick Property factor on the client, then open the invoice and press Resend. The PDF is built fresh every time it goes out, so it'll carry the client's own name on top. Anything you've already sent keeps the old heading in the customer's inbox, so it's worth a quick word with them if it's caused confusion.
