If you've got a few hundred contacts on the books, Contacts and Properties don't try to show you all of them at once. They open on the ones you've dealt with most recently. Everything else is one search or one button away.
The list is a starting point, and it tells you so
At the bottom of the list you'll see Showing 100 of 1,088 (or whatever your numbers are) and a Load more button. Press it as many times as you like — nothing is hidden from you, it's just not all loaded at once, because a thousand rows would make the page crawl.
The count at the top is your real total. If it says 1,088 contacts, you have 1,088 contacts.
Recent activity, or A–Z
Next to the filter dropdown there's a sort:
- Recent activity (the default) puts whoever you last did something for at the top — a job, a quote, or an invoice, whichever came last. The Last activity column shows you the date and which of the three it was.
- Name (A–Z) does exactly what it says, using the name you actually see on the row. For a company that's the company name.
Contacts you've never done anything for show No activity and sit at the bottom under Recent activity. That's normal, especially just after an import.
Just type
The search box reaches every contact or property on the account, not only the ones on screen. You can search by:
- Name — first name, surname, or company name. Multiple words work, so "Sarah Walker" finds her even though no single field contains both.
- Postcode
- Phone number
- Email address
- Address — house number, street, or town.
- The person you speak to — a business contact shows under the business name, but the name of the person on it is searchable too. Typing Ben Wallwork finds W & W Building.
Punctuation doesn't matter. Searching W & W, W&W or w and w all find the same firm.
You can also type more than the name and still find them. If they're filed as "W&W" but you know them as "W & W Building and planned maintenance Ltd", type the long version — Mucka will work out which contact you meant.
Properties can also be found by the name of the client linked to them, which is handy when you know whose place it is but not what the road's called.
"My contact isn't in the list"
Nine times out of ten they're there, just not on the first screen. Type two or three letters of their name and they'll appear.
If they still don't show:
- Try the short version of the name. Whoever set them up may have filed them as "W&W" rather than the full company name — searching either way round works, but the short version is the surest.
- Check you're not filtered. The dropdown next to the search box (Commercial, Residential, With Active Jobs, and so on) narrows what's shown. Set it back to All Contacts.
- They might be a property contact, not a contact of their own. Tenants added to a property are contact details held on the property. They never appear in Contacts. See Add tenants to a property.
A note for anyone who's just imported
If your book came over from Xero, QuickBooks or FreeAgent, your contacts arrive with their invoice history attached, so Recent activity works from day one — it uses those invoices, not just jobs booked in Mucka.
One thing worth knowing about Xero in particular: Xero keeps customers and suppliers in one list, so an import brings both over. If you're seeing merchants, fuel cards or software subscriptions in with your customers, that's why — they were in your Xero contacts.
And if a business you invoice came across under the name of the person you deal with rather than the firm's name, that was us — an older version of the import read the person and not the business. It's fixed, and we can put the business names back on a book that came over before it was. Drop us a line and we'll sort it.
