Some customers have been with you for years on a price you shook hands on. A boiler service at £80 + VAT for one, £100 all in for another. Your price list has moved on since, and they have not.
An agreed price keeps their figure for them. Save it once on their record and every quote and invoice for that customer uses it, without you remembering to change it.
Optional. A customer with no agreed prices is priced exactly as before.
Save one from the customer's record
Open the customer and find Agreed prices.
- Tap Add an agreed price.
- Pick the item from your price list, like Boiler service.
- Type the price, and say whether it is + VAT or including VAT. Type it the way you agreed it: if you said "£100 all in", put 100 and pick including VAT. Mucka works out the VAT split on each document, so the customer sees exactly £100.
- Add a note if you want a reminder, like "agreed 2025, pays cash".
Or keep one from a quote
If you type over the price on a line of a new quote or invoice for a customer, Mucka offers a tick under the line: Keep £90.00 + VAT as this customer's price for this item (with your figure). Tick it and save the document, and the price is kept for next time.
What it does
- It is the price. An agreed price is final: no pricing area, customer rate or out-of-hours charge goes on top of it. It is the figure you agreed.
- The quote says so. When Mucka uses one, the quote or invoice screen tells you which items are on the customer's agreed price, so it is never a surprise.
- Change the customer, the price follows. Pick the wrong customer on a half-finished quote and fix it, and the agreed price comes off again.
- Mucka uses it too. Ask Mucka to quote or invoice that customer and it uses their agreed price, and tells you it did.
Agreed prices are for items with one price, like a service or a gas safety check. Items charged by time (a call-out and first hour, say) keep using your time pricing.
What the receptionist tells callers
Your standard prices. The AI receptionist never reads out a customer's agreed price, because caller ID is not proof of who is on the phone. If it recognises a caller who has one, it adds that the team will confirm the price for them, and says nothing about why.
Already-sent documents
Adding, changing or removing an agreed price never changes a quote or invoice you have already sent.
