Record a boiler service

Fill in a Boiler Service Record on site, with the sixteen annual service checks per appliance, combustion and gas pressure readings and a next service date, then approve it and send it as a PDF.

The Boiler Service Record is the paperwork for a routine boiler service. It records the appliance, the sixteen annual service checks, your readings and the next service date, then hands the customer a clear PDF of the visit.

When to use this one

  • A planned annual service on a domestic boiler, natural gas or LPG.
  • Any boiler service the customer wants proof of, whether they own the house or rent it out.

If you are doing the annual landlord gas safety check, that is the CP12, not this. If you are servicing a gas fire, a cooker or a water heater, the Service & Maintenance Record has the right check grid for those. A callout or a breakdown fits the Gas Breakdown / Service Record. They all live side by side, so pick whichever matches the job.

Start the record

You can start one two ways:

  1. From the job. Open the job from Jobs and use the Gas Certificates card. A job booked as a boiler service says so at the top, with a Start it button that drops you straight into the draft with the client, property and engineer already filled in.
  2. From the Gas Certs page. Go to Gas Certs, tap New certificate, and pick Boiler Service Record.

Fill it in

Work down the form on site:

  • Service details. The service date and the engineer. Your workspace Gas Safe number and the engineer's licence number are checked here, because every gas record carries them and you cannot approve one without them.

  • Client and property. Link the client and the property. If the job was booked without an address on it, you can search for one or add it here and then, so nobody has to ring the office.

  • Appliances and service checks. Add the boiler with its location, make, model, serial and GC number. The Scan data badge button reads most of that off the rating plate, so you are not squinting at a serial in a cupboard.

    Then work through the sixteen checks: flue and termination, flue performance, ventilation, combustion performance, burner and injectors, heat exchanger, ignition, case and combustion seals, safety devices, appliance controls, gas connections, electrical connections, condensate, system water pressure, the pressure relief valve and discharge pipe, and location and clearances. Pass, Fail or N/A on each, with a note and a photo where it helps. N/A counts as answered, so a condensate check on a non-condensing boiler is not a gap.

    Underneath the checks sit the readings: the heat input in kW (or the burner operating pressure in mbar, tap the unit to swap), and the combustion readings, CO and CO2 at high rate with low rate behind an optional toggle. Take both rates and both print, shown as high / low.

  • Gas supply and pipework. The tightness test and a visual check of the pipework, then two boxes for the standing pressure and the working pressure, both locked to mbar.

    Both are optional and neither holds up approving the record, so put in whichever you took. Only the ones you filled in print on the certificate, so a blank pair costs the customer nothing. Nothing is flagged as too high or too low here on purpose: natural gas and LPG sit at very different pressures, and the record does not ask which fuel it is, so the reading is yours to judge.

  • Certificate result. Mucka suggests pass or fail from the checks you have recorded, but the call is yours. A failed check can be a minor.

  • Next service due. Mucka suggests twelve months ahead. Change it if the manufacturer interval is different. That date is what puts the visit onto your service reminders, so the work comes back to you next year.

  • Sign it off. The engineer signs on screen. The customer can sign for receipt too, but they do not have to. Tap the signature box and the signing pad opens full screen, with proper room to sign.

Everything saves as you go, so you can put your phone down mid job and pick up where you left off, even on a different device.

If something is unsafe

If you mark the appliance Immediately Dangerous, At Risk or Not to Current Standards, Mucka shows a Defects panel and offers to draft a Gas Warning Notice pre-filled with the unsafe appliance. You review and approve that like any other certificate. Nothing is sent on its own.

Approve and send

Tap Approve when it is done. Mucka shows you the outcome and asks you to confirm. Approving locks the record as a legal document and generates the PDF. After that it cannot be edited, only corrected.

Then tap Send. Mucka pre-fills the recipient and attaches the PDF. Check the message, then send.

Need to fix an approved record?

You cannot edit a locked record, but you can create a correction. That copies it into a fresh draft with a new serial number; once you approve the correction, the original is marked superseded and its PDF carries a "superseded" watermark. The original is never deleted.
