Mucka connects straight to Xero, QuickBooks, FreeAgent and Sage. KashFlow isn't one of those, but it's on Zapier, and so is Mucka, so the two can pass things to each other.
If you'd rather not set it up yourself, ask us through Settings, then Support and we'll do it with you.
What you'll need
- A paid Mucka plan. Only someone who can manage the workspace can connect Zapier.
- A Zapier account. Zapier has a free plan, which is enough for simple Zaps.
- Your KashFlow login.
Send new clients to KashFlow
- In Zapier, tap Create, then Zap.
- For the trigger, search for Mucka and pick New Client. Sign in to Mucka when asked.
- For the action, search for IRIS KashFlow and pick Create/Update Customer. Sign in with your KashFlow login.
- Match the fields: the client's name, email, phone, address and postcode from Mucka go into the same boxes in KashFlow.
- Test it, then switch the Zap on.
From then on, every client you add in Mucka turns up as a customer in KashFlow. Clients you import into Mucka don't set it off, so moving your records in won't flood KashFlow.
Record payments in KashFlow
Make a second Zap the same way. Use Invoice Paid from Mucka as the trigger and Add Payment from IRIS KashFlow as the action. Match the invoice number, the amount and the date it was paid, then pick the bank account the money went into.
KashFlow finds the invoice by its number, so this works when the same invoice is in KashFlow too. If you raise your invoices in Mucka and not in KashFlow, ask us and we'll set the invoice side up with you.
Bring your KashFlow history into Mucka
If you just want your customers and past invoices in Mucka, export them from KashFlow and send the files to us on a support ticket. We'll load them in for you and let you know when it's done.
