Where your revenue figures come from

If you use Xero, QuickBooks or FreeAgent, the Revenue page reads your money figures straight out of it — and every section tells you which.

Your accounts package is the version of your numbers your accountant works from, so it's the version the Revenue page shows. If you've connected Xero, QuickBooks or FreeAgent, the money figures on Revenue come straight out of it rather than out of Mucka's own invoices.

That matters most if you've raised the odd invoice directly in your accounts package, or you were trading long before you came to Mucka. Those invoices count towards what you see here, the same as they count towards your year end.

Every section says where it got its figures

Look under each figure and at the top of each card and you'll see either From Xero (or QuickBooks, or FreeAgent) or From Mucka. It's on every section, including the ones that were always Mucka's, so you never have to guess which you're looking at.

From your accounts package:

  • Invoiced this month, Paid this month, Outstanding and Overdue
  • The Revenue by Month chart
  • The Aged Debt bars
  • The invoice list on the Cash Flow tab

Always from Mucka:

  • Pipeline
  • The Quote Conversion Funnel and everything on the Quotes tab

Quotes stay with Mucka because accounts packages don't have quotes — there's nothing over there to read. A quote only reaches your accounts once it's an invoice.

The figures always add up to each other

Everything on the page is worked out from the same set of invoices. So the Aged Debt bars add up to the Outstanding figure above them, and the invoices on the Cash Flow tab are the ones those figures came from. If a number looks wrong, the Cash Flow tab shows you the invoices behind it.

Paid this month means money that actually arrived this month. An invoice you raised back in March and got paid for last week counts towards last week, not March — so a good month shows up as a good month.

If you don't use an accounts package

Nothing changes. The page shows Mucka's own figures, marked From Mucka, exactly as before.

Just ask Mucka instead

You don't have to open the page. Ask Mucka — on the app, on WhatsApp, or out loud on a call:

  • "What did I invoice in August?"
  • "How much money came in last month?"
  • "What have I billed the Johnsons this year?"

It adds up every invoice and payment in the period you asked about, so the answer is the whole picture rather than a sample of it.

Two things worth knowing about the answer, because they're the same two that catch people out on the page:

  • Drafts don't count. A draft invoice hasn't been sent, so nobody owes it yet. Mucka totals what you actually billed and mentions any drafts separately, so you know they're sitting there.
  • Invoiced and received are different questions. "Invoiced" is the work you billed out that month. "Received" is the money that landed that month — including payments against invoices you raised back in the spring. The two won't add up to each other, and they're not meant to.

If you're not sure which basis a figure used, ask. Mucka will tell you what it counted.

If something's not right

Everything says "From Mucka" but I've got Xero connected. Give the page a moment — the figures come from Xero live, so they land a second or two after the rest of the page. If it settles on a message saying Mucka couldn't reach Xero, that's usually Xero being briefly unavailable; try again shortly. If it keeps happening, check the connection is still good at Settings → Connections → Integrations — a connection can lapse if someone removed Mucka's access at the Xero end.

It says it's showing my most recent invoices. Your book is bigger than Mucka can read in one go, so the figures cover the invoices shown rather than every invoice you've ever raised. Your accounts package remains the full record.

The figures don't match my accounts package exactly. Check the label first — if it says From Mucka, you're looking at Mucka's own figures, not your accounts. If it says From Xero and something still looks off, the Cash Flow tab lists the invoices the figures were built from, which is usually the quickest way to spot what's behind a difference.

A note for FreeAgent users: FreeAgent only records the date an invoice was settled in full, so if a customer is paying you in stages, the whole amount counts towards the month the last payment landed. For most trades work — invoice out, invoice paid — it makes no difference.
