Ask a customer for photos of the job

Send a customer a link to send you photos or a short video of the job before you go. No login, and it all lands on the job.

Seeing the job before you go saves a wasted trip. Ask the customer for a few photos or a short video, and whatever they send lands on the job in Mucka straight away.

How to ask

Open the job in Jobs, press Message, then Ask for photos. On a computer Message is at the top of the job; on your phone it's under the customer's name, or at the bottom if you're keeping an eye on someone else's job. The sheet tells you how it will reach the customer and shows you the words before anything goes. Press Send.

Mucka picks the way most likely to reach them:

  • WhatsApp, from your own number, with a Send photos button, if you've connected WhatsApp for your customers.
  • A text asking them to reply YES, if you have your own receptionist number. When they reply YES, the link goes straight back to them by text. Texts with a link in them are often blocked by the phone networks, which is why the link only goes once they've replied.
  • An email with the link, plus a text telling them to look in their inbox, if neither of those applies.

If there's no mobile number or email on the customer, the sheet shows the link so you can copy it and send it yourself. Open it shows you exactly what they'll see.

What the customer does

They open the link, take photos or a video on their phone, or pick ones they already have, and press send. There's no login. They can send up to 10 photos or videos, and videos up to 2 minutes.

When a caller wants a fixed price

Your receptionist does this for you. A caller, or a Checkatrade lead it rings back, who wants a fixed price still gets the visit pencilled in, and then the photo link. Once their photos have been in for 15 minutes, a Fixed price card in Actions shows them. Price it opens a draft quote on the job with their photos on it, ready for your prices, and you send it like any other quote.

When they accept the quote online, Mucka rings them to get the work booked in, offers free times from your diary and pencils one in for you to approve, as with any booking. If they accept outside calling hours (8am to 8pm, not Sundays), they get a text offering a call instead, and are rung at the time they reply with. If nobody answers, they get one text asking them to ring or text back, and you get a card saying they could not be reached. If the job is already booked in, Mucka leaves it alone and the accepted quote is just news on the job.

Switch it all off under What it can do → Ask for photos for a fixed price on your Receptionist page.

Where the photos go

On the job, with the engineers' photos. If the job is a booking waiting for your yes in Actions, the customer's photos show on that card too, so you can see the problem before you approve it.

Common gotchas

  • A reply other than YES (for example "yes but can you ring me") goes to your receptionist as normal, not the link.
  • The YES has to come within 7 days of the text.
  • A very long or very high-quality video may be too big to send. A shorter clip will go through.
