If you run your business off your calendar, you can have Mucka colour each job by where it's at rather than by who's doing it: on Mucka's own diary, on Google Calendar and on Outlook. The colour changes on its own as the job moves on, including after the visit when the invoice goes out and the money comes in.
Switch it on
Settings → Work → Diary, then Colours on your calendar, and pick By where the job's at. Save, and Mucka repaints the jobs already on your calendar, from three months back to three months ahead.
It's for the whole business. Until you choose, jobs keep their engineer's colour as before.
The colours
Each one starts on a colour from Google's own eleven. To change one, click its colour on the same screen (tap it on the phone) and pick from the eleven.
| | When | Starts as | |---|---|---| | Booked | Not done yet | Peacock (blue) | | To invoice | Done, with no invoice sent | Banana (yellow) | | Invoiced | Invoice sent, not paid in full | Flamingo (pink) | | Paid cash | Paid in full, all in cash | Basil (dark green) | | Paid bank or card | Paid in full any other way, or done with nothing to invoice | Sage (light green) | | Action needed | On hold, payment issues, or you couldn't get in | Tomato (red) | | Cancelled | Cancelled | Graphite (grey) |
Worth knowing
Paid is read from the invoice, not the job. A job only turns green once every invoice for it is paid in full. A deposit on its own doesn't count, because the rest is still to bill.
Cash is only cash. If any payment on the job came by bank, card or direct debit, it's paid bank.
A cancelled job stays on the day, greyed and titled "Cancelled:", and shows as free so it doesn't block your time. Jobs cancelled before you switched this on stay off. Switch back to By engineer and cancelled jobs come off again.
On Outlook, colour each category once. Outlook doesn't colour events one at a time, it colours categories. So each job gets a category saying where it's at, like Mucka: Invoiced or Mucka: Paid cash, beside the usual Mucka one. In Outlook, open Categorise → All categories, give each "Mucka:" category the colour you want, and it sticks from then on. A category only appears once a job has been in that state.
Mucka's diary follows the same colours, on a computer and on the phone, with a key above the diary on a computer. A pencilled job still looks pencilled. Cancelled jobs aren't on Mucka's diary, so they only show on your calendar.
