Send a receipt when they pay

Mucka emails your customer a proper receipt for every payment you record, card on site, cash, bank transfer or one spotted in your accounts software. On by default if your accounts software is connected.

90-second video. We're recording these now.

When you record a payment, Mucka can email your customer a receipt for it. That's handy when your engineer takes the card on the doorstep and the invoice email lands a minute later: the receipt follows it, so the customer has it in writing that they've paid.

Switch it on or off in Settings → Customers → Automatic messages under Payment receipts.

Already on if your accounts software is connected. If you use Xero, QuickBooks, FreeAgent or Sage with Mucka, receipts start switched on. Otherwise they start off until you turn them on. Either way, your own switch wins.

What's on it

  • The amount they paid
  • The invoice it was for
  • The date they paid
  • How they paid, when you told Mucka (card, cash, bank transfer, cheque)
  • Either Paid in full, or what's still to pay

It comes from your business name, the same as your other emails, and a reply goes straight back to you.

Which payments get one

Every payment Mucka records for you:

  • Anything you type into the invoice: card taken on site, cash, a bank transfer
  • Telling Mucka "they paid that yesterday" in chat or by voice
  • A payment Mucka spots in Xero, QuickBooks, FreeAgent or Sage

Deposits and part payments get one too. The receipt says what's left, so nobody thinks they're all square when they aren't.

If one bank transfer covers several invoices, they get one receipt naming all of them.

Then Stripe sends the receipt, under your business name, and Mucka doesn't send a second one. Same for a saved card you charge after the job. Tap to Pay on iPhone has its own receipt screen straight after the tap.

What it won't do

It won't send on an old invoice. Anything raised more than about two months ago is left alone, so connecting your accounts software can't email your whole back catalogue in one go. The same goes for invoices brought across from another system.

It goes to whoever is being billed, never a tenant.

It needs an email address for the customer. A customer with only a phone number on file won't get one.

Receipt or thank-you?

They're two different messages and you can have both. The payment thank-you is a short, friendly message in your own words, by text or email, and only once the bill is cleared in full. The receipt is the formal one: by email, with the figures, for every payment.

Switching it off for one customer

Turn off Automatic messages on their client record. That stops everything Mucka sends them on its own, receipts included.

Where to see what went

Every receipt shows on the client's record under Communications, with the time it went.
