Take payment on site

Show the customer a QR code from the job screen. They scan it with their own phone and pay before you have packed the van.

The job is finished, the customer is stood right there, and the invoice goes out by email for them to deal with later. That is where a good number of them quietly stop getting dealt with.

Mucka puts a QR code on the job screen. The customer points their own phone camera at it, their payment page opens, and they pay on the spot.

Take a payment

  1. Open the job in Jobs.
  2. Look for the Payment due panel near the top. It shows what is left to pay on this job.
  3. Tap Show QR code.
  4. Hold your phone up so the customer can point their camera at the code.
  5. Their phone opens the payment page. They pay by card, Apple Pay or Google Pay.

That is it. The payment lands against the invoice on its own, exactly as it does when someone pays from the emailed link, and the invoice moves to paid.

Why they scan it rather than you handing your phone over

The customer pays on their own device, using their own thumbprint or face, with their own wallet. Nobody has to type card details into a stranger's phone, and you never touch their card.

It also means their Apple Pay or Google Pay is already sat on the phone doing the scanning, so for most people it is two taps and done.

If the customer cannot scan it

Some older phones will not read a QR code from the camera app. Tap Copy the link instead at the bottom of the code and text or email it to them. It is the same payment page.

Your bank details are still on the invoice as well, so a transfer is always there as a fallback.

Who can do this

This needs the Collect payment on site permission. Owners and managers have it, and engineers get it as standard when you switch invoicing on, because taking money at the door is the point of it.

If your engineers were already set up before this arrived, check the toggle is on for them. We only switched it on for people who could already see invoices, so anyone you had deliberately kept away from the money side stayed as they were rather than being handed a figure you had chosen to withhold.

It is a separate permission from being able to see invoices, on purpose, and it works both ways:

  • an engineer can take a payment on a job they are on without being able to open your invoice list, see what other customers owe you, or see what you charged
  • an engineer who can see invoices can still be stopped from taking payments

Turn it on or off per role in Settings → Team → People → Roles, under Invoices. Subcontractors do not get it unless you grant it deliberately.

Common gotchas

  • No panel on the job. There is nothing outstanding on it. The panel only appears when an invoice on that job still has money owing, so a draft invoice will not bring it up. Send the invoice first.
  • "Card payments are not switched on yet." Nobody has connected Stripe. An owner does that once in Settings → Money → Getting paid, and then the code appears. See Take card payments.
  • The engineer cannot see the panel. Check their role has Collect payment on site in Settings → Team → People → Roles, and that they are actually on the job. It only shows on jobs they are assigned to or supporting.
  • Two invoices on one job. Each one gets its own row and its own code, so you can take them separately.
  • It costs the same as any card payment. Stripe's usual rate plus Mucka's flat 30p per paid invoice. Nothing extra for taking it this way.

What about tapping the card on the phone?

That one, where the customer taps a physical card straight onto your phone with no reader, is being built. It needs Apple's sign-off and a new version of the app, so we are not promising a date yet.

The QR code covers most of it in the meantime, and it works today on any phone.
