See where an accepted quote has got to

An accepted quote can say Date offered, Deposit paid or Booked in, so you can see at a glance which won jobs still need a date, a deposit or a yes from the customer.

90-second video. We're recording these now.

Winning the quote is not the end of it. You still have to agree a date, maybe take a deposit, and get the job in the diary. An accepted quote on the Quotes page now tells you which of those has happened, instead of saying Accepted for ever.

The three stages

  • Date offered — you've offered the customer a date and you're waiting for them to say yes. The full name in the menus is Date offered – awaiting confirmation.
  • Deposit paid — the deposit is in.
  • Booked in — the job is in the diary and agreed.

The quote is still accepted underneath. Your win rate, turning it into a job and invoicing it all work exactly as before.

Most of it happens on its own

You don't have to keep these up to date by hand. Mucka reads them off things you're already doing:

  • When the quote's job is in the diary on a firm date, or the customer has confirmed the visit, the quote says Booked in.
  • When the job is pencilled in, or you've sent the customer a booking confirmation and they haven't answered yet, it says Date offered. Once the visit date has passed it stops waiting and reads Booked in.
  • When the deposit invoice raised on acceptance is paid, it says Deposit paid. See Take a deposit on a quote.

Once the job is completed or cancelled, the quote goes back to reading Accepted. The stages are about the run-up to the work, not the work itself.

Setting it yourself

Sorted a date over the phone, or took the deposit in cash? Set it yourself:

  • On a computer: open the quote and click Status at the top of the column beside it, or use the ⋯ menu on the quote's row, under Where has it got to?.
  • On a phone: open the quote, pull up the actions at the bottom and tap the Status row.

See Change the status of a quote or invoice.

You'll only be offered Date offered or Booked in if it's further along than the quote already is. Deposit paid is offered until the deposit is in, whatever the booking says — you can mark the deposit before or after the date, and neither one undoes the other. Back to just Accepted clears whatever you set by hand.

If a quote is booked in and the deposit is paid, the pill says Booked in and a small ✓ Deposit sits underneath it, so you don't lose sight of the money.

Finding them

The status filter on the Quotes page has all three stages, so you can pull up every quote with a date offered and chase the customers who haven't confirmed.

You need permission to edit quotes to set a stage. Everyone who can see quotes can see them.

Or just ask Mucka

  • "Mark Nigel's quote as booked in."
  • "The Hendersons have paid their deposit."
  • "Which quotes are still waiting for them to confirm a date?"

Mucka only puts a stage on a quote that's been accepted. If the customer hasn't said yes yet, it'll tell you so rather than guess.
