Find a time to fit someone in

Ask Mucka when you can fit a job in and it offers up to three free times from the diary, says why each one suits, and pencils in the one you pick.

90-second video. We're recording these now.

Ask Mucka in the app something like "when can I fit in a boiler service for Sarah?" or "fit Customer J in this week". Mucka looks through the diary and offers up to three free times. Each one shows the day and time, who would do it, and why it suits.

The reasons are only ever things the diary can show:

  • Free 10:00 to 13:30 – the gap the time sits in.
  • Same postcode district as the 08:30 – there's already a job that day in the same district (the first half of the postcode, like BS6). Mucka only says this when it knows the customer's postcode and the two match.
  • About 25 min drive from the 08:30 – only when Mucka could work the drive out from the two postcodes. If it can't, it says nothing about driving rather than guessing.

The first time is marked Best fit when it's next to a job in the same district, or Soonest when it's simply the earliest.

How long, and when

Each time is as long as that job type normally takes (the length you set in Settings for that job type). If there isn't one, Mucka allows two hours and says so. It also leaves at least 30 minutes either side of other bookings so there's time to get there.

Mucka only looks inside your business hours. It doesn't know anyone's own working hours, so check the time suits the person before you confirm it.

Say "next week", "tomorrow" or a day like "Thursday" and Mucka looks there. Otherwise it looks at the next seven days.

Pencilling it in

Pick a time and tap Pencil in. That asks Mucka to pencil the job in, the same as if you'd typed it. The job holds the slot in the diary, shaded, and the customer isn't told anything until you confirm it. Confirming the job is what sends them their booking text.

Tap See … in the diary first if you want to check the day before you pencil it.

Who sees what

You're only offered times for people whose diary you can see. If your role only shows your own jobs, you're only offered your own free time. If your role can't book jobs, Mucka won't offer times at all.

It doesn't offer exact times if your diary is set to book mornings and afternoons, arrival windows, or a number of jobs a day rather than times.
