Mucka has a phone number you can ring. Useful when you're driving, your hands are full, or you don't want to fumble with the app. Mucka picks up, you talk, you hang up. Same Mucka as the app, just over the phone.
Forgotten your PIN?
Nobody can tell you what it is, Mucka and the support team included: it's stored scrambled, so it can't be read back. Just set a new one. You don't need the old one to do it.
- In Settings: Settings → You → Profile, then tap Phone PIN in the Phone calls card. Type six new digits twice and tap Save new PIN.
- By asking Mucka: type “Set my phone PIN to” and your six digits into the Mucka chat in the app, or send it on WhatsApp. Type it rather than say it out loud, so the digits aren't read into a voice recording.
The new PIN works on your very next call.
Ringing Mucka is part of a paid plan, the same as talking to Mucka in the app. On the Free plan Mucka will still answer, but only to say so and point you at Billing — typing to Mucka in the app carries on working as normal.
Or just call me on WhatsApp — no PIN needed
You can also ring Mucka straight from WhatsApp: open the Mucka chat and tap the call button, the same as you would for anyone else. It's the same number, so there's nothing new to save.
Two differences worth knowing:
- No PIN. WhatsApp already knows it's you, so the call opens straight into the conversation. The PIN below is only for the ordinary phone line, where caller ID isn't proof of anything.
- It needs internet. A WhatsApp call won't connect on signal alone. If you're in a plant room or somewhere rural with a bar of signal and no data, ring the normal number instead — that's exactly what it's there for.
On both kinds of call Mucka can raise a quote, send an invoice and take a payment. Anything that reaches your customer or moves money is read back to you first, the amount out loud and who it's going to, and only happens when you actually say yes.
Set your PIN first
Phone calls to Mucka are gated by a 6-digit PIN. This stops random callers reaching your business data.
Pair your WhatsApp first (see Set up WhatsApp) — the phone PIN sits on top of your WhatsApp pairing, so it won't appear until you're paired. Once you are, head to Settings → You → Profile. Scroll down to the Phone calls card.
- Tap Phone PIN
- Type any 6 digits you'll remember (not 123456, not your year of birth), then type them again
- Tap Save PIN
Not paired yet? The same row says Pair WhatsApp first, and tapping it takes you there.
That's your PIN saved. Mucka stores it hashed, not in plain text, so even support can't see it.
Or set it on the card
A few days after you pair WhatsApp, a card called Ring me from the van turns up in your Actions. Type six digits into the box on the card and tap Set my PIN. That's it, and the card clears itself. Tap Not now if you'd rather leave it.
Or just tell Mucka on WhatsApp
You don't have to open Settings at all. When Mucka asks you on WhatsApp for a PIN for phone calls, just reply with your six digits. Or, at any time, send “Set my phone PIN to” followed by your six digits. Six digits sent out of the blue, without Mucka having asked, aren't taken as a PIN. Handy when you're out and not near a computer.
Mucka replaces the digits with ****** in the chat history as soon as it's
saved, so your PIN isn't sitting in the conversation afterwards. It's stored
hashed either way, exactly as it is when you set it in Settings.
If you ring before you've set one
Mucka will tell you on the call that there's no PIN yet, and say goodbye. That part can't be helped: on an ordinary phone line the PIN is the only thing proving it's you, and caller ID on its own can be faked — so there's no way to set a PIN on the call you're being turned away from.
What Mucka does instead is message you on WhatsApp straight afterwards, so it's waiting for you when you put the phone down. Reply with any six digits and you're set up — then ring back and it'll know you.
If you ring a few times in one afternoon you'll still only get the one message. Leave it a day and try again and Mucka will remind you afresh, in case the first one got buried.
Call Mucka
Save the Mucka business number in your phone contacts as "Mucka", then ring it whenever:
- Mucka answers and asks for your PIN
- Type or speak your 6 digits
- Mucka greets you and you're in
Mucka asks for your PIN on every call. There's no trusted-phone skip, because a phone number on its own is easy to fake, so the PIN is what actually proves it's you. Keep it to yourself and don't share it.
What you can do on a Mucka call
Mucka can:
- Answer questions about your business ("what's on tomorrow?", "did the Walkers pay?")
- Give your morning or evening briefing
- Look up clients, jobs, quotes, invoices
- Book jobs and appointments in, and add notes, or turn an accepted quote into a job
- Add and update clients, sites and projects
- Raise a quote or an invoice, and change one you've already raised — "invoice the Jamieson job, oil boiler service, a hundred and twenty". Nothing goes to the customer until you send it
- Message one of your own team — "tell James I'll meet him at Inverary at half eight". Mucka reads it back to you first and only sends when you say yes. Your engineers can message the office the same way when they ring in
- Draft things for you (a running-late text, a review reply) ready to send later
- Tell you what's in your accounts, if you've connected Xero, QuickBooks, FreeAgent or Sage: who owes you, what's outstanding, how the year's going, and what CIS has been taken off you
Sending something out (an invoice or quote email, a text to a customer), recording a payment or putting an invoice across to your accounts works on the call too. Mucka reads it back first, who it's going to and the amount, and only goes ahead when you say yes.
Two things Mucka won't do over the phone, however you ask:
- Deleting anything
- Changing your settings or security
Those stay in the app, where you can see exactly what's about to happen.
Lockout protection
Three failed PIN attempts and the number locks for a short window. This is to stop someone guessing PINs.
If you forget your PIN, head back to Settings → You → Profile → Phone PIN and set a new one. You don't need to remember the old one, and setting a new PIN gets you straight back in, lockout or not.
Common gotchas
- PIN doesn't accept the code. Type slowly, the phone can mis-hear quick taps. If you're being asked to speak the PIN and your accent gets misheard, try typing it on the phone keypad instead.
- Asked for your PIN again even though you rang yesterday. That is not a fault: Mucka asks on every single call, deliberately. There used to be a 30-day trusted-phone window and it was removed, because a caller ID can be faked and the PIN is the only thing that actually proves it is you.
- Calling from a withheld number. Mucka can't trust withheld numbers, so they always have to enter the PIN. Show your number when ringing.
- Bad reception, voice cuts out. Mucka's voice agent needs a stable connection. If you're losing signal, switch to WhatsApp voice notes instead, those tolerate signal drops better.
