Rename, add or change a job status

Your job statuses are the steps a job moves through. Rename them, give each one an icon, put them in the order your jobs actually go, or add your own.

90-second video. We're recording these now.

Your job statuses are the steps a job moves through, from New Job to Scheduled to In Progress to Completed. Each one has a name and an icon, and the icon is what your team sees on the job card, in the diary and when they change a job's status on the phone.

You can rename any of them, change any icon, put them in the order your jobs actually go, and add steps of your own, like "Waiting on parts" or "Second visit needed".

Just ask Mucka

Quickest way, and it works on WhatsApp too:

  • "Rename In Progress to On Site"
  • "Add a status called Waiting on parts"
  • "Give Waiting on parts a box icon"
  • "Get rid of the Payment Issues status"

Only owners (and anyone else who can manage the workspace) can change the list. Putting them in order is done in Settings.

Or do it in Settings

Head to Settings → Work → Job statuses.

  • Add: the button at the top. Give it a name, pick an icon, say where it sits and what Mucka should treat it as.
  • Change: the pencil on any row, to rename it or pick a different icon.
  • Reorder: the up and down arrows on each row move it within its group.
  • Remove: open one of your own statuses with the pencil and press Delete this status.

The order is the flow

The order isn't just tidiness. It decides two things, and Settings spells both out above the list as you go:

  • Where new jobs start: the first status that means waiting to be booked.
  • What the button on a job card does: it steps through your booked in, work under way and finished statuses in the order they're listed, stopping at the first finished one. With the standard list that's Scheduled, then Travelling (On my way), then In Progress (Arrived), then To Invoice (Done).

So if you add "Waiting on parts" as Booked in and put it after In Progress, the button goes Arrived and then on to Waiting on parts instead of straight to Done. Your engineers can still jump to any status with the arrow next to the button.

Statuses in Other (like On Hold or Cancelled) are never part of the button's run, wherever they sit.

What "treat it as" means

Mucka goes by what a status means, not what it's called. That's why renaming one never breaks anything. When you add your own, you tell Mucka which of these it is:

  • Nothing special: just a label. The job carries on as it was.
  • Waiting to be booked: the job isn't in the diary yet.
  • Booked in: the job holds its slot in the diary.
  • Work under way: Mucka records the time the engineer started.
  • Finished: the job is done. It frees up the slot and counts as work to invoice.
  • Cancelled: the job is off. It frees up the slot and nothing gets chased.

So a "Waiting on parts" status that's Booked in keeps the job in the diary, and one that's Waiting to be booked takes it back out until the parts arrive.

Mucka's own statuses

Some statuses are marked Built in: New Job, Scheduled, Travelling, In Progress, Completed and Cancelled. Mucka relies on them for reminders, the on-time tracker and knowing when a job is done, so:

  • you can rename them and change their icon, and your name is the one everybody sees;
  • you can't delete them or change what they mean.

What happens when you remove one

  • No jobs are in it: it's deleted.
  • Some jobs are in it: it's taken off the list so nothing new can be moved to it, but those jobs keep showing it until somebody moves them on. No jobs are ever deleted.

Common gotchas

  • The colour has gone. Statuses used to have a colour picker. The phone shows statuses as icons, so the icon is what you choose now.
  • Renamed it but your engineer still sees "Job Finished"? Engineers who can't see invoices get "Job Finished" in place of "To Invoice", because that's the step they care about. Rename To Invoice yourself and everyone sees your name instead.
  • Can't see the pencil? Changing statuses is owner and admin only.
