Everyone on your team has a role, and the role decides what they see when they log in. Mucka comes with four — Owner, Manager, Engineer and Subcontractor — and you can add your own.
What an engineer sees by default
- Their own jobs, and the schedule.
- Their own certificates — the ones with their name on them.
- The team list, the notepad, the gas calculators, and Mucka itself.
- Collect a payment at the door, on a job they're on. This one also puts what that job still owes on the job card in their list, because they need the figure to take the money. It does not open the invoice book. If you'd rather they didn't see the amount, untick Collect payment on site for that role — the figure and the Take payment button go together.
What an engineer does not see by default
- Other engineers' certificates. The certificates page shows the ones they issued. Search, Mucka and the offline copy on their phone all work the same way, so a certificate one of your lads wrote isn't readable by the rest of the van fleet.
- The quote book and the invoice book. Those are every customer's price, margin and outstanding balance, which is a different thing from the job in front of them.
- What a job made. They can record what the shower cost at the merchant; they can't see what you charged for it.
- Turnover, cash flow and aged debt.
Managers and owners see all of it.
Changing any of it
Settings → Roles. Pick the role, tick or untick, save. It applies to everyone on that role straight away.
The two most common changes:
- Your engineers need the whole certificate file — say they cover each other's re-inspections. Tick View all jobs on the Engineer role. That one switch widens jobs, the schedule, addresses and certificates together, which is deliberate: they're the same question asked in four places.
- You want an office person who isn't a manager. Add a custom role, start from nothing, and tick only what they need. A custom role gets nothing it isn't given, so there's no surprise in it.
What a subcontractor sees
A subcontractor is an outside firm working your jobs, so the line is drawn harder and you cannot move it — there's no tick in Settings that opens your book to one. They get the work they were given, the ability to accept, decline or mark it done, their own week, and their own hours. That's it.
In particular they never get your customer list, your prices, your quotes, your turnover, or where your engineers are — and on a job they're on they see whose place it is and where, but not the customer's phone number or email address. They work for other firms too, and your customer's number is yours.
If you want someone with more than that, don't use the Subcontractor role — add a custom role and give it exactly what you mean. Custom roles start from nothing and are yours to define.
Signatures
A remembered signature belongs to one person. Mucka will offer an engineer their own saved signature on a certificate and nobody else's — including to you, on a certificate you're drafting for them. The signature at the bottom of a gas safety record is that engineer saying they did the inspection, so it has to be them who puts it there.
If a page has disappeared for someone
Nothing has been deleted. Check the role first: if the nav item is missing, the role doesn't hold the permission. Tick it in Settings → Roles and it comes back on their next page load.
