You don't have to open the Schedule and work it out. Just ask.
If you'd rather look than ask, the Engineers page on your phone now groups everyone by what they're doing, with whoever's free at the top: See who's free right now.
Ask Mucka
Say or type any of these:
- "How's Dave getting on today?"
- "What's Rhys been up to?"
- "Has Priya finished at the Hollis job?"
- "Are they running late?"
Mucka comes back with what they've finished today, what they're on right now, what's still to do, and their email and mobile if you need to get hold of them.
It works on the phone too, so you can ask on the way to a job without touching anything.
Roughly when they'll get to each job
Mucka also works out a rough time for each job still to come, so you can ask "where will Craig be at half one?" or "is he going to make Mrs Smith's?".
It starts from when their day starts (their own working hours if they've set them, otherwise your business hours), then adds how long each job is booked for and the drive in between, in the order they're in the diary. It goes from what's actually happened, too: a job they've finished ends when it ended, and a job they're still on counts as running until now.
It won't have anyone turning up before the customer was told. If a job's going to miss the window or booked time the customer was given, Mucka says so.
These are rough times, and Mucka tells you what they're built on:
- Job lengths. Most jobs are booked with the standard length for that type of job, not anyone's estimate. Mucka says how many. Put a real length on a job when you book it and the times get better.
- Drive times. They're only included if travel time is switched on in Settings → Work → Diary → Travel time. See Travel time between jobs. Without it, Mucka says the times leave the driving out.
- The order. It follows the diary. If they're doing the jobs in a different order, the times will be out.
Nothing moves and nobody is told. It's just the picture.
Plan the day together
Say "plan my day" (or "plan Craig's day") and Mucka goes through the jobs one at a time: who, where, what and when it's booked, then "how long do you reckon?". Say "half an hour", "skip it" or "keep that", and it asks once at the start whether you want a bit of slack on each. It sets those lengths on the jobs, then reads the day back and tells you if any customer will now be later than they were told. It'll offer to let someone know, but it never moves a job or texts a customer.
On the diary
The same rough times show on the Schedule, for today and later days. To keep the diary calm, a job only gets one when it's likely to be at least a quarter of an hour behind its booked time: a small ~2:10pm next to the booked time. It's amber when it's just behind, and red when it'll miss the window or time the customer was told. A job that's on plan shows nothing extra. Hover over it on a computer to see why.
What Mucka counts as finished
A job counts as done when its status is anything in the Post-Job group, so "To Invoice" and "Invoice Sent" both count, not just "Completed". If you've renamed your statuses, Mucka still knows which is which.
If a job's on a status Mucka doesn't recognise, it'll list it as still to do rather than assume it's finished. Better you check than find out on Friday it never got invoiced.
If nothing's booked in
Mucka will tell you there's nothing in the diary for that person today. That means nothing was booked, not that they've done nothing. Plenty of work never makes it into the diary, especially small callouts.
So if you know they were out on a job, tell Mucka about it and it'll take your word for it.
Mucka can't message them yet
Right now this is Mucka telling you how someone's doing. It won't go and ask them.
If you want a word with them, just say so and Mucka will message them for you — see Message your team. Mucka will also flag a job that's gone quiet on its own and offer to chase it: When a job goes quiet.
Common gotchas
- "No team member found." Check the spelling, or try just their first name.
- Two people with the same first name. Mucka will list both and ask which one you meant.
- Their day looks empty but they're out. The job list counts jobs where they're the lead engineer. The rough times do include jobs where they're a second pair of hands. Check the Schedule for the full picture.
- You can't see it at all. You need permission to view the team. If you're not the owner, ask them to check your role in Settings → Team → People.
