Coming across from Powered Now? The Mucka team does the import for you. What we need from you is the data, and the first thing to know is that what comes across depends on what Powered Now send you, so it matters how you ask.
Ask Powered Now for "a full copy of my data" and what usually arrives is a single contacts file and nothing else. Ask again, naming your jobs and your invoices, and they send those as well.
What to ask Powered Now for
Name every one of these:
- Your customer list, with every contact and address against each customer
- Your job history
- Your quotes and invoices
- Any certificates held on the account
- Your diary: every appointment, past and booked
Say plainly that you're moving to another system. You're entitled to all of it under UK data protection law, and saying so tends to get you the lot first time. Here's an email that does both:
- To
- support@powerednow.com
- Subject
- Request for a full export of my data
Hi, I'm moving my business to another system and need a full copy of my data, please. Could you send me: 1. My customer list, with every contact and every address against each customer. 2. My job history. 3. My quotes and invoices, with their line items and the payments recorded against them. 4. Any certificates held on the account, as PDFs. 5. My diary: every appointment, past and booked. I know the standard export is my contacts and nothing else, so please do send the jobs, quotes, invoices, certificates and diary as well, covering every year the account has been open, not just this one. I'm entitled to all of it under UK data protection law. My account is [your business name], and I log in with [the email address you use for Powered Now]. Thanks, [your name]
Connected your email to Mucka’s Inbox? The last button opens it ready to send, so you can read it through and press Send yourself.
Powered Now may tell you to export it yourself rather than sending it. That's fine: the app has a contacts export and a sales invoices export, and we take both.
Or ask Mucka to send it
If you've got the Inbox skill and your email connected, just say "email Powered Now for my data". Mucka writes the request, naming everything above and what their standard export leaves out, reads it back to you, and sends it from your own email address once you say yes. When Powered Now reply with the files, Mucka puts a card in front of you asking whether to send them to the Mucka team. See Ask your old software for your data.
Press the backup button too
In Powered Now, go to Settings → General and press Download backup database. It saves one file holding your company's whole database, including the quotes, payments and certificates the reports leave out.
Send it to us with everything else. We can't bring all of it into Mucka yet, but once your Powered Now account is closed it's the only copy of your quotes and payments you'll have, so it's worth keeping.
Send them to us
Attach the files to a support ticket. Open Settings → Support, or just tell Mucka "I'm moving from Powered Now, here are my exports" and it'll raise one for you. Send them as they come; no need to tidy or rename anything.
What comes across
Your customer book comes across properly whatever they send:
- Every customer, with their phone numbers and email addresses
- Everyone on the record, so a firm's site contact and its finance contact arrive as one customer, not two
- Every address they had against a customer, as its own property. If you look after an estate with eight cottages or a farm with three dwellings, that arrives the shape you'll want to book it
- Duplicates joined up where Powered Now itself had the same customer twice, while a couple at one address, or a landlord and their tenant, stay as the two customers they are
If your invoices and jobs come too, you also get your trading history, and the invoice you actually sent, attached to its job. That matters more than it sounds: Powered Now's invoice export is a total and nothing else, so without the document a job would say "Project created on 26/02/25" and £165.72. With it, the job says what you did, in the words you wrote.
Four things to be straight about.
Their reports come out filtered, and nothing on them tells you. One customer's invoice file started in March 2025 and his job list only covered 2025. Everything before and everything from this year was simply missing, and the filename was the only clue. Check the dates cover what you expect, and ask again for the rest.
There's no payment information in the reports. Not one figure, so we can't tell which invoices are still owed. We bring them in marked Paid, on purpose, so Mucka doesn't start chasing customers who settled up months ago. If any are still outstanding, open the invoice and set it to "Sent - unpaid" and Mucka picks it up from there. A yearly service from last year can look just like this year's invoice for the same job. It isn't a duplicate, so keep it: it's your record of the earlier visit.
Your quotes don't come across, and neither do certificates or service reminders. None of that is in the reports.
Powered Now doesn't record what kind of work a job was, so imported jobs come in as a general service call, with what you actually did written on the job. It gives us no appointment dates either, so the date on a job is when it was raised, not the day you were there. The job says so.
Before you cancel
Don't cancel your Powered Now subscription until we've told you we've got everything. You're entitled to your data, but it's much harder to get once the account is closed, and the backup button goes with it.
If you've already sent us your contacts, start using Mucka straight away. When the rest arrives we add it to what's there, and you won't end up with two of anybody.
