Switching to Mucka doesn't mean starting from an empty screen. You've got two easy ways to bring your existing clients and jobs across, and Mucka can point you to whichever fits.
Already in a spreadsheet? Import it yourself
If your clients (or jobs) are in a CSV, an Excel file, or a Google Sheet, you can bring them straight in:
Head to Settings → Connections → Import data and choose Import clients or Import jobs. Upload your file (or paste a Google Sheets link), and Mucka does the fiddly bit:
- Column mapping — Mucka reads your headers and lines them up with its own fields (name, phone, email, address, postcode). You can adjust any it didn't guess.
- Duplicate checking — before anything saves, Mucka spots contacts that look like ones you already have, so you don't end up with two of everyone.
- A preview first — nothing is written until you're happy with what you see.
- A check that names are names — if the column you've mapped to First Name is full of phone numbers rather than names, Mucka stops and says so instead of importing. It's the easiest mapping to get wrong, and the hardest to spot afterwards.
One thing worth knowing if your export came out of an address book or a phone: some of them write one row per detail rather than one row per person — a row for the mobile, a row for the address, a row for the notes. That kind of file needs flattening to one row per client before it'll import properly. If your preview shows clients named after their own phone numbers, that's what's happened.

Moving off another tool? We'll do it for you
If you're coming from another trades tool or CRM, ServiceM8, Jobber, Tradify, Payaca, Commusoft, Simpro, and the like, and you'd rather not export and tidy files yourself, the Mucka team will do the migration for you.
Just ask Mucka: "I'm moving over from ServiceM8, can you bring my data across?" Mucka raises it with the team and someone reaches out to handle the move. Tell us what you're coming from and roughly what you need brought over (clients, job history, notes), and we'll sort the rest.
Coming off Tradify?
We've built an importer for Tradify, so your whole customer book comes across properly rather than as a tidied-up spreadsheet:
- Every customer, with their phone, email and address
- Every site they own, kept as its own property under the right customer, so a landlord with eleven flats arrives as a landlord with eleven flats
- Postcodes and addresses cleaned up on the way in, and anything we're not sure about flagged for you to check rather than guessed at
Two things worth knowing. Tradify's own export buttons hand over your customer and site lists — your job history, quotes, invoices and certificates need a separate ask, so tell us if you want those and we'll work out the route with you before you cancel. And if you've already started using Mucka, that's fine: the import recognises the customers you've entered yourself and won't give you two of anybody.
Coming off Payaca?
There's an importer for Payaca too, and it brings your trading history, not just your address book:
- Every customer, with their phone, email and address
- Your job history — every piece of work, at the address it was done, with what it was quoted, what you invoiced and what came in
- Your quote and invoice documents, attached to the job they belong to
Three things worth knowing, because we'd rather say them now than have you find out later.
Your Payaca documents expire seven days after you generate the export. Payaca doesn't put the files in the export itself, just links to them, and those links stop working after a week — sooner if you cancel your subscription. So send us the export as soon as you've generated it, and don't cancel Payaca until we've confirmed we've got everything.
Payaca doesn't hold appointments or engineers, so we can't bring across the day somebody attended, because it was never recorded. Each imported job is dated from when you accepted the work, and it says so on the job.
There are no certificates in a Payaca export — no gas safety records, no service paperwork. If yours are in there, tell us and we'll work out the route separately, again before you cancel.
Coming off Gas App?
We've built an importer for Gas App as well. This one's a bit different, because of what Gas App actually gives you: press its two export buttons and you get your invoices and your quotes as PDFs, and nothing else. No customer list, no jobs, no diary.
We read those PDFs properly, so you get real records rather than a folder of files:
- Every customer named on an invoice or a quote, with their phone number, email and address
- The address you actually worked at, kept separate from the address you billed. If you look after a landlord with three rentals, those come across as three properties, not three jobs at the landlord's own house
- Every invoice and quote, with the line items, the quantities and the prices exactly as you wrote them
- Whether it was a quote or an estimate, because the two aren't the same thing and we're not going to turn one into the other
- The original invoice, attached to its job, so the paperwork your customer got is still there
Three things to be straight about.
Only customers you've invoiced or quoted come across. They're the only ones in the file. If you've got people in Gas App you've never billed, they aren't in the export, so tell us and we'll find another way to get them.
There are no certificates in a Gas App export at all — no CP12s, no service records. For a gas engineer that's usually the paperwork that matters most. Ask Gas App for it before you cancel your subscription, tell us what they say, and we'll sort it separately.
We don't change your numbers. If an invoice's total doesn't match the items listed on it, we keep the total you printed, because that's what your customer received and paid, and we'll ask you about it rather than quietly correcting it.
Coming off Commusoft or Gas Engineer Software?
We've built proper importers for both, so you come across with far more than a contact list:
- Your customers and their properties, including who's a landlord and who's the tenant
- The appliances at each property, with make, model, serial and GC number
- Your job history, with the notes and the photos
- Your gas certificates, with the original signed PDFs and the readings that were taken
- Quotes, invoice history, and your service reminders, so nobody drops off the annual round
One thing worth knowing if you're on Commusoft: your photos and documents live on Commusoft's servers, not in the backup file, and they start disappearing once your subscription lapses. So tell us early, even before you've decided on your move date, and we'll get them safe.
Already on Xero, QuickBooks or FreeAgent?
If your client book lives in your accounting software, connecting it pulls your contacts (and invoice history) straight in, with the same duplicate-checking. See Import your existing clients from Xero, QuickBooks or FreeAgent for that route.
Good to know
- Nothing is lost, nothing is guessed. Every route shows you a preview and checks for duplicates before saving.
- You can do a bit of both. Import a spreadsheet of clients now and ask the team to move the trickier history later, whatever's quickest for you.
- Ask any time. "How do I import my clients?" or "help me move over from Jobber" — Mucka will walk you through it or bring in the team.
