Mucka sits in WhatsApp as an ordinary contact. You message it the same way you'd message anyone, and it does the office work at the other end. No app to open, no menus to learn.
About an hour after you connect, Mucka sends you a short message listing what you can do in the chat. This article is the longer version of that list.
Connect WhatsApp
Head to Settings → Connections → Integrations and connect WhatsApp. You'll get a six-digit code on your phone; type it into the app and you're paired.
Everything you say on WhatsApp shares the same memory as the chat panel in the app and the phone line. Ask Mucka something on WhatsApp in the morning and it still knows about it in the app that afternoon.
Send a voice note instead of typing
The one most people end up using every day. Hold the microphone, say what happened, send it.
"Just finished at Mrs Patel's, the boiler needed a new expansion vessel, took about two hours, can you sort the invoice."
Mucka listens, works out which job you mean and gets on with it. Handy with cold hands, in the van, or when typing it out would take five minutes and saying it takes fifteen seconds.
Snap a photo of a receipt
Photograph the receipt at the counter and send it. Mucka reads off the shop, the total, the VAT and the date, works out which expense account it belongs to (materials, fuel, subsistence and so on) and shows you a card to check.
Tap approve and it's recorded in your accounts with the photo attached. No shoebox, no reconciling it at the weekend.
Ask for a quote or an invoice
Describe the work in plain English and Mucka drafts it from your price list.
"Quote the Hendersons for a full bathroom refit, suite and tiling, about four days."
You get the draft back to check. Nothing goes to a customer until you approve it, same as everywhere else in Mucka.
Tell Mucka how a job went
Say what happened and Mucka updates the job: status, notes, time on site, whatever you mention. You can send photos of the finished work the same way and they're saved against the job.
Ask for a PDF
Ask for a quote or invoice PDF and Mucka sends the actual file into the chat, ready to print, save or forward. Useful when a customer wants a paper copy rather than an email.
Mucka messages you too
As well as answering, Mucka gets in touch on its own: a morning briefing of what's on, an end-of-day summary, a nudge when action cards are waiting on a yes or no, and a chase when a quote or invoice needs attention.
You choose which of those you get and when. Set it in Settings → Mucka → Notifications, or just tell Mucka "only message me on weekdays" and it'll sort it.
What's in them follows your role, same as the rest of Mucka. An owner or manager gets the whole day — everyone's jobs, what's owed, quotes still waiting. An engineer gets their own: their jobs, their diary, their to-dos. So if your briefing is shorter than your boss's, nothing's broken — you're seeing your work, not the books.
Ask it to remind you
Say "remind me to ring Mrs Sears back tomorrow" or "give me a nudge at 6 about the stores list" and Mucka saves it to your notepad with the time on it. Because you asked on WhatsApp, the nudge comes back on WhatsApp — you don't need the app installed for it to reach you.
Times are read as UK time, so "6" means six o'clock where you are.
If you'd rather it didn't
Nothing here is compulsory. Tell Mucka to stop messaging you and it will, or turn individual message types off in Settings → Mucka → Notifications. Your WhatsApp stays connected for when you want to use it.
